By configuring this integration, you can ensure that customers returning products in-store can easily exchange them for other items, while keeping order records accurate and updated in both Shopify and WeSupply.
This guide walks you through setting up Shopify POS to work seamlessly with WeSupply for in-person exchanges.
2. Pre-requisites
Before configuring Shopify POS for exchanges, make sure you have:
- A Shopify store connected to WeSupply.
- Shopify POS installed and active for your retail locations.
- Products and inventory synced between your Shopify online store and POS.
- Admin access to both Shopify and WeSupply accounts.
3. Step-by-Step Instructions
Step 1: Access Point of Sale Settings
- Begin by navigating to the "Sales Channels" section in your Shopify dashboard and select "Point of Sale".
Step 2: Configure Staff Permissions
- Head to Settings ➝ Users and permissions ➝ Add Staff.
- Add the staff that has access to the POS app.
- For each user, a PIN is automatically set (this can be changed) - this is important as it will be later used to log into the app.
Step 3: Install WeSupply App
- Head to the Shopify app marketplace and install the WeSupply app. If it is already installed, skip this step.
Step 4: Set Up WeSupply Account
- In your WeSupply account, go to Settings ➝ Users and permissions ➝ Create a user account.
- This has to be done for each staff member who was added to Shopify.
Step 5: Accept WeSupply Invitation
- Accept the invitation received via email, which will redirect you to the WeSupply account. Log out, then create a password for your user.
- This password is required for logging into the POS dashboard from the mobile app.
Step 6: Access POS View on WeSupply
- To access the POS view in WeSupply, add "-pos" to your account's URL. Example:

Step 7: Log in to Shopify POS App
- Upon initial login, you need to use the username and password from your Shopify login.

- Enable all app permissions as required.
Step 10: Access WeSupply Dashboard in Shopify POS App
- Once logged in, select Add tile ➝ Link.
- Add the URL of your WeSupply store with "-pos" at the end.
- Provide a title and click Save.
Step 11: Save changes
- Return to the main dashboard and click Save once more.
Step 12: Log in to WeSupply via Shopify POS App
- Click on the tile and log in using the credentials saved in step 5.
- This is necessary only for the first login from the app.

- Receipts & confirmations: Always provide the customer with a receipt showing the exchange details.

Q: Why doesn’t the exchange show up in WeSupply?
A: Ensure the Shopify POS transaction was completed as an Exchange and not a Refund. Refunds may not sync as exchanges.
Q: Can I process a partial refund and exchange in the same transaction?
A: Yes. Shopify POS supports combining refunds and exchanges, and WeSupply will record both accordingly.
Q: Do customers receive notifications for in-person exchanges?
A: Yes, if configured in WeSupply. Make sure your notification templates for exchanges are enabled.
Q: What if the replacement item costs more?
A: Shopify POS will prompt for additional payment. This is reflected in both Shopify and WeSupply order records.
