When processing an exchange, WeSupply shows a clear pricing breakdown—including item prices, discounts, taxes, shipping/label costs, fees, and the balance due/credit. This guide shows where to see those amounts and how they’re calculated across the original and replacement items.
2) Before You Begin
- You have Admin/Agent access to WeSupply.
- You have an exchange RMA created (items selected for return and replacement).
- You know whether your store applies prorated discounts, gift cards/store credit, and how tax is calculated (destination, tax-inclusive pricing, etc.).
3) Step-by-Step Instructions
Step 1 — Access Your Returns Page
- Log in to your WeSupply account.
- Navigate to the Returns page from your dashboard. This page lists all return and exchange requests submitted by customers.
Step 2 — Select the Specific Exchange
- Browse through the list to find the exchange request you're interested in.
- Click on the exchange to open its details. This will take you to a page dedicated to that specific exchange transaction.
Step 3 — View Exchange Details
- View Exchange Details:
- Within the exchange details page, scroll down to the section that lists the items being exchanged.
- Here, you'll find comprehensive information about each item, including:
- Product Details: Name, SKU, and other identifiers.
- Taxes Applied: The amount of tax charged for each item.
- Discounts Applied: Any discounts or promotional reductions that were applied to the original purchase or the exchange.
- Total Amounts: The subtotal, total tax, total discounts, and the final amount for the exchanged items.
4) Benefits of Accessing This Information
- Financial Accuracy: Ensures that all financial records are accurate, reflecting the correct taxes and discounts for accounting purposes.
- Customer Communication: Enables you to provide detailed explanations to customers if they have questions about pricing adjustments during an exchange.
- Inventory Management: Helps in tracking the value of items returned and exchanged, aiding in inventory valuation and restocking decisions.
5) Troubleshooting / FAQ
Discount doesn’t appear on the exchange.
- Check if the promotion is configured for exchanges/replacements and whether it prorates across items.
- Confirm discount conditions (SKU/category/min spend) match the replacement items.
Tax looks different from the original order.
- Exchanges can recalibrate tax based on destination, current rates, and post-discount values.
- Verify whether shipping/fees are taxable in your region.
Balance due seems incorrect.
- Expand each item line and review discount proration and taxable base.
- Confirm any return label/outbound shipping and fees are included as intended.
Gift card vs. store credit line is confusing.
- Gift card behaves like a payment method; store credit is usually an account credit. Both reduce the balance but appear in different sections.
6) Summary
Open the exchange request, review the Pricing Summary and item-level expansions to see discounts, taxes, shipping/fees, and the resulting Balance Due/Credit. Confirm proration and tax behavior, then capture payment or issue refunds as needed. Use clear labels and documented rules to keep exchanges transparent for agents and customers.
